Thank you for agreeing to serve as a speaker at the 2022 HFSA Annual Scientific Meeting. We appreciate your willingness to participate. Below you will find information on the following:

Speaker Guidelines
  • Presentation Slide Deadline: Speakers are asked to upload slide files by SEPTEMBER 15TH to allow time for CME review in the Presentation Management System. Modifications to slides can be made 1) remotely after they have been uploaded and 2) on-site in the Speaker Ready Room.
  • Faculty Biography and headshot Deadline: Speakers are asked to upload slide biographies and headshots by SEPTEMBER 15th in the Presentation Management System
  • Faculty Disclosures: Speakers are asked to upload their disclosures in the HFSA Centralized Disclosure System.
    Reminders:
    • Please use your HFSA login credentials. The user will be the same email address to which you receive your faculty invitation. 
    • The presentation management system will automatically display disclosures before your presentation begins. Moderators are not required to provide slides but will also have a disclosure slide played at the beginning of the session by the presentation management system.
  • Time Allotment: In effort to maintain the schedule and pace of the program while also ensuring no one’s time is unfairly curtailed, speaker timers will be utilized and programed to implement a hard stop. Each room will be equipped with countdown timers with visual “sum up” light to assist speakers. When the allotted time for each speaker is up, slides will go dark. Please respect the audience and other speakers in your session by staying on time. Preserving time for questions and answers is important. 
Presentation Slide Guidelines

Please review the following speaker guidelines:

  • Fair and Balanced: All presentations must be free of commercial bias. Use generic terms, rather than trade names, when referring to drugs or devices.
  • Discussion of Off-Label Uses: CE activities provide a forum in which unlabeled or investigational uses supported by research findings may be discussed if the speaker informs the audience that the uses under discussion are off-label or investigational.
  • Patient Care Recommendations: All recommendations must be based on evidence that is accepted within the profession of medicine as adequate justification for their indications and contraindications in the care of patients.
  • Aspect Ratio: Faculty are required to use the HFSA ASM 2022 PowerPoint template (download here). 16:9 is the standard aspect ratio for the 2022 meeting. Typical resolution for the meeting room will be 1280x720 for 16:9 presentations. Click here for additional information on converting presentations to widescreen 
  • Disclosure Slides: Speakers will not need to include a disclosure slide as part of the slide presentation. The presentation management system will automatically display disclosures before your presentations begins. Most moderators are not required to submit slides but will also have a disclosure slide played at the beginning of the session by the presentation management system. 
  • Learning Objectives Slide: Speakers should dedicate a "Learning Objectives" slide in their presentation.
  • Summary Slide: Speakers should dedicate a "Summary" slide at the end of their presentation
How to Submit: Presentation Slides, Faculty Biography, and Faculty Photo 

Presentation slides, faculty biographies, and faculty photos are due September 15, 2022

 

How to Submit Faculty Photo (High resolution, 600x600 pixels, PNG or JPEG)

  1. Log into the 2022 Presentation Management Portal
  2. Click on your name in the upper right hand corner and select "My Profile" from the drop down menu
  3. Click the "Camera" icon and upload image from your computer

 

How to Submit Biography (Character max: 4000)

IMPORTANT UPDATE - Faculty Biographies: If you have not submitted a faculty biography or photos as of 9/23, you will be asked to submit your biography and headshot directly in the virtual meeting platform when logging in. Access to the virtual meeting platform will begin Wednesday, September 28. 

 

How to Submit PowerPoint Slides

  1. Log into the 2022 Presentation Management Portal
  2. Locate the desired session you wish to upload to. Important: When naming your file, please keep the length under 30 characters and do not include special symbols  $ & + , / : ; = ? @ " < > # % { } | \ ^ ~ [ ] `as this will prevent your presentation from uploading through the submission website.

  3.  Click the “Upload” green button.

  4. Browse out to your upload file/files target location, select the file(s) to upload, and click on “Open”. 

  5. If your upload is successful, you will receive a pop up message indicating that the upload was successful and your files will appear listed under the appropriate session/presentation.

 

Trouble logging into the 2022 Presentation Management System?

If you do not know your login name, click the "Forget Your Password?" link on the login page. When you enter your email address, both your login name and temporary password will be emailed to you.

After submitting a file, you will receive a confirmation email within an hour. If you do not receive a confirmation, please contact support@sessionupload.com to ensure your file was received.

Best Practices Before, During, and After The Session: For Speakers

Before the Session

  1. Arrive to the session room a 15-minutes early to get to know the room set up and check in with your session moderator. 
  2. Be sure to locate the presentation clock for faculty presenters

During the Session

  1. At the start of the Session:
    • Connect with the audience using eye contact and make a strong welcoming introduction
    • Encourage the audience to participate in the discussion, emphasize that that the session is intended to facilitate active listening, learning, and participation.
  2. During and at the end of the presentation:
    • Review your disclosures. NOTE: the presentation management system will automatically display disclosures before your presentations begins. You do not need to create a disclosure slide in your presentation.
    • State the learning objectives clearly at the beginning of the presentation. Dedicate a "Learning Objectives" slide in your presentation.
    • Engage the entire audience by making eye contact with everyone.
    • Check the presentation clock and be mindful of your time allotment. Please respect the audience and other speakers in your session by staying on time. Preserving time for questions and answers is important. 
      IMPORTANT: When the allotted time for each speaker is up, slides will go dark
    • Remind the audience at the end of the talk as to what they learned. Dedicate a "Summary" slide at the end of your presentation.
  3. During the Audience Q&A
    • Allow the person being addressed by the moderator to respond and wait for them to finish before providing your response.
    • Avoid confrontational verbal and non-verbal responses.

After the session:

  1. Solicit feedback to the HFSA Education Team. Email speaker@hfsa.org
