Press credentials to cover the HFSA Annual Scientific Meeting will be granted to representatives of the following news media outlets:
- General circulation newspapers or magazines
- Wire services
- Medical, Science, Pharmaceutical, Nursing, and Allied Health Care publications
- Broadcast media
- Web site media
- Accredited medical and science freelance writers
- Accredited media relations/public relations representatives of nonprofit health organizations
Please be aware that camera crews must be escorted by an HFSA representative. Any filming will require written approval from the HFSA.
After reviewing these bulletpoints and the information below, if you meet the requirements, complete the form below to register as a member of press.
To receive a complimentary press badge, reporters and writers must show one of the following credentials:
- Press card
- Business card clearly stating affiliation and position Must be identified as an editor, publisher, writer, reporter, or producer.
- Letter on official letterhead from an editor of a publication, web site, or from a producer of a program certifying the person is covering the meeting for the respective organization
- National Association of Science Writers, International Association of Science Writers membership card
- Science journalism students will receive credentials by providing a letter on official school letterhead and signed by a department adviser
Non-Late Breaking “General” Abstracts Embargo Policy
All accepted non-late-breaking general abstracts are embargoed for release until the start of the Heart Failure Society of America’s Annual Scientific Meeting.
At the start of the meeting and anytime thereafter, researchers, authors, universities, medical institutions and health care organizations involved in the study may issue press releases and announcements to the public and media.
Researchers, authors, universities, medical institutions and health care organizations that are involved in a study may distribute their own embargoed news release 2 business days prior to the embargo, and authors of studies and representatives from the institution may conduct embargoed media interviews during the 2-day pre-embargo period with journalists who agree to honor the embargo.
Promotional media activities (such as media briefings/news conferences, satellite media tours, corporate receptions or investigator meetings) may not be held until after the embargo lifts. You may conduct one-on-one embargoed media interviews as long as the reporter agrees to abide by the embargo policy.
Failure to honor this embargo policy may jeopardize future acceptance of clinical trials and presentations at ASM.
Late Breaking Clinical Research and Rapid Fire Oral Abstracts Embargo Policy and Press Access Window
The Heart Failure Society of America (HFSA) embargo policy is designed to ensure fair, accurate, and timely reporting on late-breaking science presented at the HFSA Annual Scientific Meeting (ASM). By registering as media for HFSA ASM, you agree to abide by the following rules:
Embargo Rules
- All late-breaking clinical research abstracts accepted for plenary and Rapid Fire Oral Abstract sessions are strictly embargoed until the time of presentation.
- No reporting, publication, or online posting of results may occur before the embargo lifts.
- Embargoed materials (press releases, slides, manuscripts, etc.) may not be shared or published before the embargo date/time.
New for 2025: 24-Hour Press Access Window
- Credentialed and accredited media will receive embargoed access to press materials beginning 24 hours before the embargo lifts.
- During this period, you may:
- Review embargoed press releases, abstracts, and presenter details via a secure, password-protected folder.
- Schedule pre-embargo interviews with late-breaking science presenters.
- All interviews and materials remain strictly embargoed until the time of presentation.
Media Registration
- Only registered and HFSA-reviewed press will be given access to embargoed materials.

Enforcement
- Failure to honor this embargo policy may result in:
- Suspension of access to embargoed materials.
- Revocation of press accreditation and meeting registration.
- Possible suspension of the reporter’s media outlet from future HFSA meetings.
After the Embargo Lifts
At the time of abstract presentation and anytime thereafter, researchers, authors, universities, medical institutions and health care organizations involved in the study may issue press releases and announcements to the public and media.
Press Embargo Agreement
By accepting HFSA embargoed news materials from an email or any other source, reporters agree to honor all ASM embargo dates and times, as listed on all news materials.
ASM press and embargoed materials may be available to select reporters under embargo to facilitate the development of original news content. Embargoed materials may be shared only with experts in order to prepare for media interviews and with agreement to honor the HFSA ASM embargo. Embargoed information may not be published prior to the date and time the embargo lifts. Journalists sharing information with expert sources for interviews bear the responsibility of ensuring those sources abide by the ASM embargo.
Complimentary press badges will not be issued to:
- Advertising sales representatives of publications
- Spouses and other guests of journalists attending the meeting
- Advertising, marketing, or public relations representatives from exhibiting companies or their agencies
- Representatives of organizations selling or producing publications, video, or audio tapes or websites intended for marketing, advertising or public relations purposes.
Individuals with complimentary HFSA press badges may not:
- Sell, market, or represent a company for the purpose of obtaining advertising or subscriptions from any registrant or exhibitor
- Market a product or service displayed on the HFSA exhibit floor
- Misrepresent themselves to secure press credentials to cover the meeting
- Conduct product promotion that implies HFSA endorsement, or use the HFSA logo and/or name without the express written permission of HFSA’ s CEO
- Receive CE or CME credits for attending sessions.
- Attend “By Invitation Only” sessions and events
Individuals with complimentary HFSA press badges who violate this policy will immediately forfeit press credentials for this and subsequent meetings.
If the Annual Scientific Meeting will serve as an organization’s choice venue for the presentation of new research or data, the HFSA maintains the right to embargo all information until the presentation of material at the Annual Scientific Meeting
Information regarding media registrants is proprietary. HFSA does not make available press registration lists.
HFSA will host a Press Room onsite at the meeting, however, no formal press conferences are currently scheduled. You are welcome to use the room for interviews or other work. Inquiries may be directed to HFSA Marketing and Communications Director Laura Poko at lpoko@hfsa.org.
